Retention and Deletion
Last updated: August 2026
Content Swarm keeps personal data only for as long as it is needed for the service, to meet legal duties, to maintain security, or to resolve disputes.
Retention schedule
| Data type | How long we keep it | Why |
|---|---|---|
| Account and contact data | Duration of the subscription, then 12 months | Account administration, reactivation, disputes |
| Team or swarm membership records | Duration of the subscription, then 12 months | Team administration, access control, audit |
| LinkedIn access and refresh tokens | Deleted when you disconnect LinkedIn or when your account is deleted. Tokens are held per user rather than per team, so leaving a team does not by itself remove them | Storage limitation |
| Posts, post URLs, attachments, generated content, comments, shares and reactions | Duration of the subscription, then 30 days | Service delivery, export window |
| Internal audit and event records, which can include user ID and email address | 12 months | Security, audit, support investigation |
| Application error records | 90 days | Debugging and service reliability |
| Reconnect attempt records | 30 days | Diagnosing LinkedIn connection failures |
| Product and website analytics | 12 months, GA4 set to a maximum of 14 months | Measuring feature use, improving the service |
| Email and support communications | 24 months | Support history, service notices, delivery evidence |
| Billing and financial records | 6 years from the end of the financial year | UK company law and HMRC requirements |
| Database backups | Retained in line with our hosting provider’s automated backup configuration and removed when that cycle expires | Recovery, resilience, incident response |
Deletion requests
Email support@contentswarm.io.
Please tell us whether the request concerns your account, your LinkedIn connection, a team, a specific content item, or all personal data.
We may ask for information to verify your identity and your authority to make the request. We will respond within one month and tell you what has been done.
Deletion requests are handled by our team rather than through a self service control.
What deletion covers
When we delete an account we remove the account record and the data linked to it, including stored LinkedIn credentials, content records, engagement records and email records.
What is not covered
Some information is not removed by an account deletion request:
- Records we are required to keep by law, including billing and accounting records
- Limited internal records retained for security, audit and dispute purposes, in line with the schedule above
- Copies held in backups, which are removed as the backup cycle expires rather than immediately
- Content already published on LinkedIn, which sits on LinkedIn’s platform and must be removed there or through your LinkedIn account
- Data held by service providers, which is removed in line with their own processes and retention periods
If you need any of these addressed specifically, tell us in your request and we will explain what is possible.
When a customer contract ends
Our Data Processing Agreement gives the customer the choice to have customer personal data returned or deleted, unless the law requires us to keep it.
Unless the customer asks otherwise:
- Customer data remains available for export on request for 30 days after termination
- Production data is deleted after that export window, subject to the exceptions described above
- Backup copies are put beyond ordinary use and removed as the backup cycle expires
- We confirm in writing what has been deleted, on request
